Vetting Officer - Unifi Aviation UK & Ireland 

Location: Office based - Oxford Airport, Kidlington 
Hours: Monday - Friday 09:00-17:30 (37.5hrs)
Reporting to: Head of Vetting 
Salary: £26,000-£30,000 per annum

As a Vetting Officer, you will play a critical role in ensuring our people meet the strict security and compliance standards required to operate within the aviation industry.

As a Vetting Officer, you will sit within our Business Operations function and play a key role in supporting the onboarding of new employees across the UK and Ireland. You will manage aviation security vetting processes and coordinate the application of airport security passes, ensuring employees obtain the necessary clearances to commence their roles while maintaining compliance with airport, airline, and regulatory requirements.
This role requires excellent attention to detail, strong organisational skills, and a passion for supporting people through an important stage of their employment journey.

Key Responsibilities: 

Vetting & Compliance
  • Conduct employment vetting in accordance with Civil Aviation Authority (CAA), airport ID Centre, airline, and Unifi Aviation requirements.
  • Review and verify five-year employment, education, and address histories for new starters.
  • Obtain references and supporting documentation from previous employers, educational establishments, and other relevant organisations.
  • Complete criminal record check administration and support candidates throughout the process.
  • Process applications for visitor, temporary, and full airport identification passes.
  • Liaise with Airport ID Centres to ensure all security clearance requirements are met.
  • Ensure all vetting records and compliance documentation are accurate, complete, and maintained in line with GDPR requirements.
  • Resolve rejected vetting applications and work with candidates to obtain any outstanding information.
  • Monitor candidate progress and provide updates to operational managers, HR, and Recruitment teams.

Candidate Experience
  • Act as a key point of contact for candidates throughout the vetting process.
  • Provide a friendly, professional, and supportive experience while guiding candidates through compliance requirements.
  • Respond promptly to vetting-related queries and requests for information.
  • Build positive relationships with candidates, helping to minimise onboarding delays and improve engagement.

Collaboration & Team Support
  • Work closely with Recruitment, HR, Operations, and Airport ID Centres across the UK and Ireland.
  • Support operational requirements by ensuring vetting is completed efficiently and within agreed service levels.
  • Collaborate with colleagues to share knowledge, best practice, and provide support where required.
  • Escalate risks, concerns, or compliance issues appropriately to the Head of Vetting.
  • Support additional administration and compliance activities as required.

Continuous Improvement
  • Keep up to date with regulatory changes relating to aviation security, right to work legislation, GDPR, and airport access requirements.
  • Identify opportunities to improve processes, efficiency, and candidate experience.
  • Contribute towards maintaining a culture of compliance, integrity, and operational excellence.

Travel
  • Occasional travel to airports across the UK and Ireland may be required to support operational requirements.

Skills, Experience & Qualities:

Essential
  • Strong administrative and organisational skills.
  • Excellent attention to detail and ability to work accurately in a highly regulated environment.
  • Strong communication and interpersonal skills with the ability to engage professionally with people at all levels.
  • Ability to manage multiple tasks and prioritise workloads effectively.
  • High level of discretion and confidentiality when handling sensitive information.
  • Proficient in Microsoft Office applications, particularly Outlook, Word, and Excel.
  • Ability to work collaboratively within a team whilst also managing individual responsibilities.
  • Customer-focused approach with a commitment to delivering a positive candidate experience.
  • Willingness to learn and develop knowledge of aviation vetting and airport security processes.

Desirable
  • Previous experience within aviation vetting, recruitment, compliance, onboarding, or HR administration.
  • Knowledge of Civil Aviation Authority security requirements.
  • Experience working with Airport ID Centres or security pass applications.
  • Understanding of right to work checks and pre-employment screening processes.
